The Postal Mail Response Letter

When the customer making an enquiry wants to receive a letter in the post,  'Respond by Postal Mail' should be selected in the Enquiry. 

 

Selecting the 'Respond' button will generate a letter addressed to the customer with short details of the hotlisted properties.

 

To select the print template that generates the postal response:

From the Administration menu, select Enquiries Options.

Open the Postal Mail Response tab.
Use the button with the 3 dots to browse for the Response template.

 

By default, the A4 template is selected. If you are in the United States, you might prefer to select the US Letter version of the 'Response' template.

 

You can make your own version of the letter.   If you do, remember to give your version its own name (e.g. Our Response Letter) and to select that version in Administration > Enquiries Options > Postal Mail Response.

 

How to make your own version

 

From the Administration menu, select the Print Templates Manager.
Open the Enquiries > Letters folder.
Here you will find Response Letter (A4 Paper) and Response Letter (US Letter Paper).
Clone the template for your paper size. (Highlight the template and select Template > Clone)
Rename the cloned version (Highlight the template and select Template > Rename)
Double click your template. The template will open in the Print Template Editor.

 

To edit the letter:

Right-click over the letter text (Click the button on the right hand side of your mouse over the letter text).  This will open the Rich Text Editor.

 

You will see that the letter consists of merged fields and some text.  You can change the text very easily. Simply replace or edit this part of the text:

After you have made your changes, close the Rich Text Editor. It will prompt you to save your changes - make sure you accept.

 

Then, close and save the template itself.

 

Remember to select your template under Administration > Enquiries Options > Postal Mail Response
